Job Description

Established Criminal Defense firm in Encino is seeking an experienced Office Manager / Legal Secretary to oversee daily office operations while providing administrative and legal support to attorneys. The ideal candidate will be highly organized, detail-oriented, and experienced in managing a fast-paced legal environment.

Key Responsibilities

  • Manage daily office operations and ensure efficient workflow.
  • Provide administrative support to attorneys and legal staff.
  • Prepare, proofread, and file legal documents with courts.
  • Coordinate hearings, court appearances, meetings, and attorney calendars.
  • Communicate with clients, courts, experts, and opposing counsel.
  • Maintain case files, records, and confidential client information.
  • Handle intake, correspondence, and case management tasks.
  • Assist with billing, invoicing, expense tracking, and vendor payments.
  • Coordinate service of process and court filings.
  • Supervise and support administrative staff as needed.
  • Assist attorneys with trial preparation, exhibits, and binders.

Qualifications

  • 3+ years of experience as an Office Manager, Legal Secretary, or similar legal support role.
  • Criminal defense experience strongly preferred.
  • Knowledge of California court procedures and legal filing requirements.
  • Strong calendar management and organizational skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Proficiency with Microsoft Office and legal case management software (Clio, MyCase, TrialWorks, or similar preferred).
